Clean up an old sheet in an hour
- Duplicate the sheet so the original stays intact.
- Add columns: raw link, status, price today, date checked.
- For each row, extract the Taobao or Weidian ID and rebuild the raw link (see link formats).
- Open the raw link on Hipobuy; mark live or dead and note today's price.
- Delete dead rows or replace them with a similar item from the grid above.
- Recalculate a sample parcel with the EU calculator.
What not to carry over
Drop rows that only exist as agent short links with no visible ID, rows from shut agents you cannot decode, and anything priced far below similar items, since those listings are often gone or bait. Also drop notes about 'duty-free under €150': that is no longer true in the EU.

When you reprice an old sheet, most changes are small, but popular items often rose after going viral and some sellers cut prices to clear stock. Note both directions; an item that got cheaper may be a different batch. Check the listing photos against the old ones before buying.
A quick way to spot stale rows
Sort the old sheet by category and check the most popular items first, since they are the most likely to have changed seller or batch. If a seller's shop now shows a different main photo or a new listing with a higher price, the old row probably described an earlier batch. Update the row with the new link rather than buying from the old one blindly.
Cost estimates then and now
A 2025 sheet might say a three-item parcel to France cost around €95 delivered. With the €3 per category duty introduced in July 2026, the same parcel of three different item types now carries €9 more in duty, before any change in shipping prices. That is why old 'delivered price' columns should be recalculated rather than trusted.

Add a 'checked' date to every row you keep and plan a quick review every few months. Even a once-a-quarter check keeps the sheet usable, and it means the next time a year changes you will not have to start again.
Should you keep the 2025 sheet at all?
If more than half of a sample of rows is dead or repriced, start from a current list and keep the old sheet only as a record of styles you liked. If most rows still work, the clean-up is worth it, because an old sheet often contains sellers you already trust. Either way, the time spent rebuilding links is an investment: once your sheet stores raw marketplace URLs, it will survive any future agent change without another rebuild.

Sheets from 2025 came in three main formats: Google Sheets with agent links per row, Discord message threads exported to sheets, and creator sheets tied to a single agent. The first is easiest to clean because each row is separate. Discord exports often lack prices and sizes. Creator sheets usually need the most link rebuilding, especially those built for CNFans, which many Spanish creators used. Start with the format you have and follow the clean-up steps above.
Prices in old sheets
Old sheets often list prices in dollars or euros at the exchange rate of the day they were made. Convert from the yuan price shown on the marketplace today instead. Exchange-rate moves alone can shift a converted price by several percent over a year, before any change the seller made.
